We acknowledge that you might have answered some of these questions in your original application — please bear with us and just re-confirm them as MOST arrival and shelter plans tend to shift at least a bit between your application date and now. 🙂 Most of these questions ARE new or are more specific and ALL of them are very important to core camp operations. Even if you just applied, please fill out this additional form for us as it has a few more specific details that we need to plan camp and give your placement. 🙂

Arrival Details

We understand circumstances are dynamic heading into playa — just give your best estimate. 🙂

Note: It can take 2–8 hours to get from Reno to Camp, depending on line-ups, gate pauses, last minute gas/water stops, dust storms, finding camp… These delays can impact build week as much as open gate entry. Factor probable delays into your planning and do not speed along your route between Reno & Black Rock City, especially in towns you pass through and on the playa itself.

We highly, highly recommend arriving no later than Monday 8/31 at 11am, in order to be present for camp opening ceremony. Campers arriving later — we've probably already talked about your arrangements in your interview, but if not please get in touch with April to discuss your arrival exception. If you arrive right before or during opening ceremony, please just park where you can and join the group for the event before unloading and setting up your camp.

Build Week

We are stoked to have SO much enthusiasm for Build week! Woohoo!! You guys are AWESOME.

As you know, we get a limited amount of Setup Access Passes (SAPs) for build week allocated for each day. Currently we have full coverage for everyone who requested a SAP so far. We have received our full allotment of SAPs requested to the org (63! 🤩💪) In the event we have more SAP requests than allocations of SAPs for a particular day, we handle it the following way:

1. We will first apply to the org for an additional SAP pass to accommodate you, but this may not be granted.
2. We will probably be able to offer you a SAP for a different build week day, usually the very next following day.
3. If we cannot offer SAPs to absolutely everyone who has requested them, we will prioritize core builders and build support team members, and those bringing in camp groceries for meal crews or camp supplies (such as firewood).
4. In the unlikely event we can't grant you a SAP at all through camp, you may try to seek out SAPs in other ways; in the past volunteering for the Gate duties or Artica shifts have been successful.

Just want to re-iterate that all or almost all SAP requests can be honored so don't stress. We will allocate them over the next 2–3 weeks so that you know your status. In the event you can no longer make it to your SAP day, please inform April ASAP so we can re-allocate it to another camper and give you a later or earlier SAP if needed.

Note: If you are delayed en route to playa, SAPs will still be valid for use after their specified day but not before.

Note: For 2026, SAPs are not needed for those taking the Burner Express in on Friday or Saturday. Early entrance without a SAP is included with your Burner Bus ticket on these days only.

Most campers make stops in Reno on the way in. Bringing groceries or firewood for family dinners and build crew support is one of the MOST helpful contributions to camp. ❤️ Keep all receipts so camp can re-imburse you! Most re-imbursements are made after the burn but some can be made sooner as needed.

If bringing cold/frozen items, plan ahead with your RV fridge or a cooler. Coolers are available at our Reno storage unit if needed.
It can be a huge help to receive mailed orders of supplies and bring them. Please de-moop items (remove packaging) before bringing. Examples: water pumps, string lights, rugs.

About tent sizes: Spaces in tent city are 10×10 generally. In recent years, tents seem to get bigger and bigger. We have a limited amount of square footage to build camp and also a limited amount of space we can SHADE (quality shade is $$$). All of tent city gets shaded which is an amazingly helpful benefit that can't be overstated — if you know, you know. 🙂

Some larger tents or irregular shaped tents can be accommodated into tent city, especially if you are SHARING. We'll do our best to accommodate oversized single-occupant tents underneath the shade structure but if you have a super large or irregular tent setup you may be placed on an edge of tent city and encouraged to bring additional shade for your extra space.

In tent city, the option to plug-in small household devices are provided (without an extra cost) for device-charging and small low-draw electronics such as cell phones, small basic fans, small (50W or less) heating pads for cold nights (but a kitchen-kettle filled hot water bottle is preferable and lasts longer). E-bike charging station will be available in camp. Put a long outdoor-rated extension cord on your packing list if you intend to plug in your small devices in your tent.

Air Conditioner Units: You may bring an A/C air conditioner unit for your tent as long as you register and pay for it ahead of time. These are large power draws and therefore you need to contribute extra to the power costs of camp, current year A/C fees are $420. You MUST let us know ahead of time if you will be bringing an A/C unit and pay your power fee ahead of time. Unique ID tags will be printed and attached to your tent city's power cable and tent before you are able to plug in — these are supervised to prevent breaker shortages. A/C units must be 12000 BTU's or less. 8000 BTU is preferred. This will be confirmed before you can plug in. U-shaped dual hose units work best out there. A great playa-friendly unit is Midea 8000 BTU U-Shaped dual hose. These typically cost less than $400 USD to purchase.

Are there limits to power usage and AC hours for RVs? Of course. On average, limits are 3-4 running AC hours per day (note that your RV will stay cool after you turn it off as long as you don't linger with the doors open). We also expect that you only use AC while your RV / tent is occupied and turn it off when you leave for adventures.

Note: Camp will provide an Air-Conditioned Cool Zone 8x12 lodge tent during peak heat hours of the day, for campers only.

Swamp cooler water requirement: If you plan to use a swamp cooler, you must bring an additional 3–5 gallons (11–19 liters) of water per day to support its operation.

Camp water supplies have been carefully calculated for essential needs — swamp coolers can more than double individual daily consumption, and camp water cannot support this additional use. About a dozen campers have mentioned swamp coolers, so this is not a small concern.

Camp Placement Preferences

You'll receive a specific placement so you know where to set up and park when you arrive — shown on a visual camp layout map. We can't guarantee preferences but will do our best! Your arrival/departure dates will also influence your position in camp and may override preferences.

Please don't switch your placement with anyone unless you run it through approval first. This is also how we ensure proper power cabling for A/Cs and RVs — unauthorized switches can create real electrical problems for your neighbors.

Camp Departure

Camp layouts are both an art and a science. We will not be able to guarantee your access in and out of camp on your desired days unless you tell us the truth. If you're leaving early, please let us know so your vehicle can exit with minimal disturbance.

If you are leaving prior to noon on Strike Monday, as you agreed to camp's "Everyone Strikes Policy", you will be asked to do more Burn week shifts and contribute to Strike in other ways — such as overtime on Strike push 1 Sunday, taking camp trash out when you leave, or another special arrangement. Missing Strike Push 1 Sunday or Strike Push 2 Monday Morning without making an arrangement may result in a red mark on your camp standing and you may not be invited back to camp in the future.

Please do not use Strike Push 1 or Strike Push 2 hours to take down and clean your own tent setup instead of helping with camp takedown. Plan ahead to make sure your own setup is taken care of before or after Strike Push hours.

Note: Being a core part of early build crew or on a pre-playa planning team is awesome, but does not exempt you from camp's Everyone Strikes policy. If you appreciate camp, then don't leave your camp leads hanging at the end with the toughest part on their own. When we have a lot of people helping with strike it's fun and easy and another bonding community experience.

Strike Core Team: Strike lasts all through Monday and into Tuesday morning. Smart cookies plan to stay until late Monday night or Tuesday morning to skip the long Exodus lines — you might as well be having fun helping at camp vs. sitting in a hot line-up. Monday Strike night we have a lovely family dinner and campfire; Tuesday we do a happy hour in Reno and sometimes pool day at GSR.
